Job Title: Administrative Assistant
Salary: $25.00 Hourly
Job Type: Full-Time & Permanent (30 Hours Weekly)

Experience: Previous work experience is considered an asset. No specific work experience required.

Minimum Education: Successful completion of Secondary (high school) is required

Job Description:
- Greet clients and visitors and ask them about the nature of business or direct them to accountant or appropriate staff member;
- Prepare, key in, edit and proofread invoices, client correspondence & letters, and various reports and submit the same for review by business managers before it is sent to clients;
- Responsible for looking after day-to-day business activities and ensure adherence office procedures;
- Review any documents, letters and correspondence received and file the same following appropriate office procedures;
- Schedule and confirm appointments and meetings of clients with accountant;
- Provide administrative support to accountant, managers and other staff members of the firm;
- Order supplies for office, contact maintenance contractors, information technology contractors etc., as and when required;
- Perform basic bookkeeping tasks;
- Answer phone calls, relay appropriate updates and/or information and reply to general e-mails received.
- File, organize and maintain all correspondence pertaining to firm's clients are in computerized system as well as in manual files as per predefined office procedures;
- Attend meetings, make notes and prepare meeting minutes for future reference;
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and any other correspondence;
- Arrange travel for accountant and other staff members and make reservations, when required;
- Develop, prepare and monitor appropriate bi-weekly and monthly office reports using computerized systems
- Perform any other relevant job duties as instructed by business managers
