ELAAR is seeking for an Administrative Assistant to join be a part of the team at our Whitehorse, Yukon location. Below is more information about what the role entails.
Main Job Tasks and Responsibilities:
• Key interface with the clients from signing the retainer agreement to the final decision on their respective files.
• Assisting the principal immigration consultant in preparing legal documentation and case files
• Draft, manage and file legal documents and application forms.
• Assist with preparing a variety of high quality letters, correspondence and documents
• Assisting in the client intake process and responding to both primary and complex client inquiries by email and/or telephone to ensure that applications are processed and any obstacles are anticipated and dealt with.
• Communication with the clients, vendors and authorities.
• Manage and update the client files on the CRM system.
• Preparing submission packages, sending them to various government agencies, and tracking application status.
• Coordinate with clients and other staff members to meet deadlines.
• Ensure that the Principal Consultant is always advised of client-related issues that come to their attention.
• Working in conjunction with the Principal Consultant, head of operations and other administrative staff.
• Perform other general and administrative duties as required.
• Scheduling client appointments, ensuring follow ups are sent and confirmations are received
• Order office supplies and any other inventory items as needed
• Maintaining and updating client files and records both electronically and hard copies
• Taking meeting minutes and digitalizing them
EXPERIENCE: Experience an asset
Education level:
• A university degree or college diploma in business or public administration would be preferred
• Experience in office administration would be preferred
• Handling the confidential documents related to immigration processes.
