With tons of opportunities to grow, we're looking to hire an Administrative Assistant to join our team.
Major job responsibilities will include, but not limited to:
• Prepare, edit, and proofread IT-related documents, including service agreements and project proposals.
• Manage and distribute incoming communications, ensuring timely responses to client inquiries.
• Schedule and confirm meetings, particularly with clients and vendors, for IT project discussions and service reviews.
• Maintain digital and physical filing systems, ensuring that contracts, and documentation are organized and accessible at all times.
• Handle the procurement of office supplies and IT equipment. when needed.
• Respond to telephone and email inquiries related, directing technical questions to the appropriate team members.
• Welcome visitors, including clients and vendors.
• Handle onboarding and welcome packages for new clients and vendors.
• Working in close collaboration with the Project Manager to compile and manage data related to IT operations, such as service performance metrics, client feedback, and project timelines.
• Assist in preparing detailed reports on IT services, including performance analysis and service improvement suggestions.
• Prepare and manage contracts, confidentiality agreements, and other legal documents, ensuring they are up to date and properly filed.
• Prepare and distribute meeting minutes, particularly for review meetings.
• Assist in preparing operational budgets and track expenses.
• Help coordinate any on-site deliveries
• Assist in organizing internal webinars, or training sessions related to industry developments.
• Scheduling client/vendor appointments, ensuring follow ups are sent and confirmations are received
EDUCATION AND EXPERIENCE
• A university degree or college diploma in business or public administration would be preferred
• Experience in office administration would be preferred
• Ability to handle confidential documents
OTHER SKILLS
• Ability to utilize the MS Office programs (word, excel, powerpoint) and any other starter software(s)
• Ability to work in a fast-paced environment
• Strong organizational, interpersonal, verbal, and written communication skills
• Detail-oriented and able to prioritize
• Able to work independently and as part of a team
• Self-starter
WHAT WE ARE OFFERING:
• A competitive salary pay: $26 per hour
• Full-time position (40 hours/week) working Monday to Friday
