Overview
We are seeking a highly organized and proactive Executive Assistant to support our fish plant’s daily operation.
Responsibilities
• Serve as the primary point of contact for internal and external communications, demonstrating excellent email and phone etiquette and customer service skills.
• Prepare and edit correspondence, reports, and presentations with attention to detail.
• Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
• Providing comprehensive administrative support to the President, including calendar management, meeting coordination, correspondence, and document preparation.
• Serving as a primary contact, managing communications with the current employees and ensuring a smooth workflow for daily operations.
• Coordinating travel for the executive teams and any incoming seasonal workers.
• May assist with personal errands, including online shopping, household management, coordinating family travel, and booking personal appointments (e.g., health, wellness, and events).
• Budget tracking and expense reporting and ensuring timely payments and reconciliations.
• Anticipating needs and proactively addressing challenges before they arise.
• Prepare payrolls and salary reports, meeting minutes, etc.
Requirements
- A high school diploma, college or university degree in administration, business or accounting is an asset.
- 1 year of experience as an Executive Assistant or in other administrative roles.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Familiarity with office management procedures and basic accounting principles is a plus.
- A proactive attitude with a willingness to learn new skills as needed.
Schedule:
• Monday to Friday
• Weekends as needed
