Job Overview:
As the Administrative Assistant, you will be the first point of contact for our clients, contractors, and vendors. You will play a key role in ensuring the office runs smoothly, managing daily administrative tasks, and providing excellent service to our customers and visitors. Key Responsibilities:
• Greet and assist clients, contractors, and visitors in a professional and friendly manner.
• Answer incoming phone calls, direct calls to appropriate departments, and take messages when necessary.
• Schedule appointments, coordinate meetings, and manage calendars for project managers and staff.
• Process incoming and outgoing mail, packages, and deliveries.
• Maintain accurate records of client information, project schedules, and other essential documents.
• Assist with filing, data entry, and general office organization.
• Manage office supplies and inventory, ordering supplies as needed.
• Maintain and update client, contractor, and vendor contact lists.
• Support the project management team with administrative tasks as needed.
• Ensure that the front office area is organized and presentable at all times.
• Assist with general office duties, including photocopying, faxing, and handling email correspondence.
Requirements:
• High school diploma or equivalent (some college or office administration experience is a plus).
• Previous receptionist or office experience, preferably in a construction or trade-related industry.
• Strong communication skills with a professional, customer-focused attitude.
• Ability to multi-task, prioritize effectively, and work in a fast-paced environment.
• Familiarity with construction terminology and processes is a plus but not required.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment (phones, copiers, fax).
• Strong organizational skills and attention to detail.
• Ability to work independently and as part of a team.
• Bilingual (English/Spanish) is a plus but not required.
Preferred Skills:
Experience with construction project management software or scheduling tools is a plus. Basic knowledge of construction contracts, permits, or project timelines is beneficial.
