Specific Skills
• Manage day-to-day office operations, ensuring efficiency in the warehouse and trucking departments.
• Answer and direct phone calls, emails, and inquiries.
• Maintain office supplies inventory and place orders as necessary.
• Prepare and manage correspondence, reports, and documentation.
• Maintain filing systems (both electronic and paper) for easy access to critical information.
• Oversee administrative staff and coordinate daily tasks and schedules.
• Provide training and guidance for new employees in office procedures and company systems.
• Coordinate with warehouse and trucking teams to ensure smooth communication and workflow between departments.
• Schedule and coordinate trucking routes, delivery times, and driver schedules.
• Collaborate with warehouse personnel to ensure the timely loading and unloading of goods.
• Manage appointments and meetings for managers and senior staff, as well as coordination with external partners.
• Handle invoicing, billing, and customer payment tracking.
• Assist in budget tracking, financial reporting, and payroll coordination.
• Ensure accurate and up-to-date recordkeeping for shipments, deliveries, and vehicle maintenance.
• Process and track purchase orders for inventory, equipment, and supplies.
• Ensure compliance with all relevant regulations, including DOT (Department of Transportation) regulations and warehouse safety standards.
• Track and maintain driver licenses, certifications, and training records.
• Coordinate safety meetings and ensure that safety equipment is available and in good condition.
• Serve as a point of contact for customers, suppliers, and other external partners.
• Address and resolve customer issues or complaints related to shipping, deliveries, or inventory.
• Communicate effectively with clients regarding delivery schedules, order statuses, and issues.
• Track and manage warehouse inventory, ensuring that goods are accurately logged and organized.
• Oversee the receipt and distribution of shipments in and out of the warehouse
• Handle any special projects or tasks as assigned by senior management.
• Assist with the hiring process for office and warehouse staff.
• Organize company events, meetings, and travel arrangements when required.
