Job Duties:
• Provide administrative assistance and secretarial support to team members.
• Triage information of a sensitive and organized nature and deliver accurate and timely administrative services to keep the management team apprised of issues and activities.
• Draft, type and edit memos, excel sheets, reports, letters and presentation slides
• Compile and maintain files, invoices, data, records and documents
• Arrange and confirm appointments as well as set up audio or video conference lines.
• Manage correspondence, calendar and mail and ensure all items are dealt efficiently.
• Check incoming enquiries from electronic channels and distribute them to relevant parties.
• Assist with team members to finalize orders and review confirmations.
• Maintain alarm codes, key fobs, office equipment inventory, and help plan and arrange office events and assist with managing the office budget.
• Arrange travel schedules and make reservations


Qualifications:
• Secondary School or above is required.
• Minimum 1 year of administrative or secretary experience, or acting in a similar role.
• Experience preparing and maintaining documentation, spreadsheets, and databases is an asset.
• Advanced proficiency with Microsoft Office Programs (Excel, Word, PowerPoint, Outlook) including 50 wpm keyboarding skills.
• Good interpersonal skills and ability to work in a team.
