Job Duties:
Oversee and coordinate office administrative procedures, and review and implement new systems as needed
Establish work priorities and delegate tasks to support staff, ensuring deadlines and service standards are met
Coordinate and plan for office services such as supplies, maintenance, parking, IT equipment, and facility needs
Assist in preparing the operating budget and monitor expenditures to maintain budgetary controls
Manage employee records, customer contracts, and U-Haul rental documentation in accordance with privacy policies
Maintain inventory systems for office and retail stock; coordinate orders with suppliers
Draft and distribute internal communications, manuals, reports, and meeting notes
Ensure company policies and administrative processes are followed and kept up to date
Monitor and respond to emails, phone calls, and external inquiries from customers and partners
Conduct analysis of office operations and prepare periodic progress reports
Support the recruitment, onboarding, and scheduling of new employees
May supervise junior clerical staff, including reception or administrative assistants
Job Requirements:
Completion of secondary school is required
A college diploma in business, office administration, or a related field is preferred
Minimum 1 year of experience in an office administration or senior clerical role
Strong organizational and communication skills
Familiarity with MS Office (Word, Excel, Outlook) and cloud-based file management systems
Ability to work independently in a fast-paced, multi-service environment
Project management or customer service experience is an asset
Experience working in a small business setting or retail/service environment preferred
