Job Title:
Office Manager

Job Summary:
The Office Manager oversees the daily administrative operations of a solo-doctor dental clinic, ensuring efficiency in scheduling, patient coordination, insurance billing, and inventory control. This role acts as the central communication point between patients and clinical staff and plays a vital part in maintaining regulatory compliance and high standards of care. The manager also contributes to performance reporting and assists in adapting new programs like CDCP to better serve patients.

Main Duties and Responsibilities:
• Supervise a small team of administrative and clinical staff
• Support the implementation of new systems or public dental programs
• Coordinate patient scheduling, follow-ups, and staff activities
• Serve as the main point of contact between patients and dental professionals
• Manage billing enquiries and ensure timely processing of dental insurance claims, and CDCP submissions
• Maintain accurate patient records and privacy compliance
• Monitor and manage inventory, procurement, and vendor relationships
• Generate reports on clinic performance, finances, and workflow improvements
• Ensure workplace compliance with health and safety regulations
• Provide IT and operational support when necessary

Requirements and Qualifications:

Education:

• Completion of post-secondary education in office administration, hospitality management, healthcare administration, or a related field; or equivalent experience
• Additional training in business, customer service, or dental administration is an asset

Experience:

• Minimum of 1 year of experience managing front-desk or administrative operations in a dental clinic or healthcare setting
• Experience with patient coordination, insurance billing, and scheduling systems
• Proven ability to supervise small teams and manage clinic supplies and vendor relationships

Technical Skills:

• Proficiency in dental management software (AbleDent, MaxAssist, EVASoft)
• Competency with Microsoft Office Suite and Google Workspace
• Basic IT troubleshooting and equipment coordination
• Experience preparing financial or operational reports

Language Requirements:

• Fluent in English (oral and written)
• Spanish and French language proficiency is considered an asset

Other Competencies:

• Strong organizational and multitasking skills
• Excellent verbal and written communication
• Attention to detail and discretion with sensitive information
• Ability to work independently and under pressure
• Familiarity with the Canadian Dental Care Plan (CDCP) is an asset
