Due to our ongoing growth, we are currently looking for a reliable and energetic Office Administrator who can efficiently manage and support the daily administrative operations of our business. This role plays a key part in keeping our service operations organized, professional, and responsive to customer needs.

• Completion of secondary school is required
Qualifications & Experience
• At least 1 year of experience in the same trade is required
Duties and Responsibilities
• Oversee and streamline day-to-day administrative operations of the HVAC office to ensure smooth coordination between service technicians, customers, and suppliers.
• Maintain employee records including work schedules, training updates, certifications, and performance documentation; assist in evaluating technician dispatch efficiency and customer service quality.
• Support basic accounting tasks such as invoicing, job costing, payment processing, and coordinating with external bookkeepers or accountants for financial reporting.
• Administer internal documentation procedures, including the handling of customer contracts, service agreements, warranty claims, and inventory logs.
• Assist in preparing seasonal budgets, ordering office supplies, maintaining HVAC parts inventory logs, and ensuring proper equipment tracking.
• Generate regular reports using scheduling software and CRM tools to identify service gaps, customer follow-ups, technician productivity, and general business performance.
